Learn the technology: Today, there are numerous tools available for video conferencing. Whichever you use, learn its features and settings, how to: mute and unmute audio; turn on and off video; adjust volume and output device (if you have an external webcam, microphone, or speakers); adjust the image size; enable screen sharing; and, send messages to individual or all participants. These are the most common features of video conferencing applications.
Maximize bandwidth (if possible): If you have access to a wired connection, use it – it’s almost always superior. If wireless, maximize performance by sitting close to the router or access point, and minimize other activity on your network (i.e. online gaming, video and music streaming, etc.).
Minimize other applications: If you don’t need them during the call, close other applications on your computer. Be especially aware of any which use a lot of resources or bandwidth. This includes multiple browser tabs, email, and other data-hungry applications.
Frame your camera: Enable your own camera’s preview and be aware of how others are seeing you. Adjust camera height and angle so that you’re square in the middle, if possible. Be aware of what else is in frame, especially if it’s sensitive information.
Check lighting: Some overhead and backlighting can cause awkward shadows, adversely affecting your camera’s focus on your face. Try to keep lighting in front of you, behind the camera. You may need to adjust where you sit or use a desk lamp to help.
Talk to the camera: Be sure you’re looking at the camera, to make eye contact with others viewing you. If the camera is focused at the side of your face or elsewhere, it’s distracting and awkward for other participants. If you’re looking downward at your screen and the camera is above your eye level, your eyes will appear closed. Keep your video preview on the screen and occasionally check yourself.
Wear the right clothing: Aside from wearing business-appropriate attire, be aware that certain clothing tends to “buzz” when viewed on video. Tight stripes and small patterns may cause problems for cameras, leading to a strobe effect when viewed. TV presenters avoid striped shirts and ties because they’re distracting and problematic for viewers.
Mute yourself: When you’re not speaking, mute yourself. Computer microphones are sensitive and often pick-up typing, rustling papers, and background noise. When you’re not actively speaking, it’s helpful to others for you to mute yourself and avoid distracting them.
